Made a company's incoming payments reconcile themselves

A unique account number per customer, so every payment tags itself to the right payer.

Situation

A company's finance team was matching thousands of incoming payments to invoices by hand. Customers used inconsistent references, cash was applied late, and the amount owed to the business kept climbing while staff guessed at reconciliation.

Action

I gave each customer their own unique account number that routes to the company's real account. Every payment now arrives already tagged to one payer, so collections reconcile themselves in real time. I handled the awkward cases, part payments and overpayments, by clear rules rather than manual review.

Impact

Incoming payments now match themselves, cash is applied instantly, the money owed comes down, and finance moves from chasing references to real treasury work.

Insight

You cannot fix how people pay, but you can make the reference unique by design. The account does the reconciliation before the money even lands.
